Agent checks supplier invoices against contract terms to stop leakage
Added 2026-10-14
Role
procurement / accounts payable
The problem
invoices get paid even when prices, surcharges or delivery performance don't match what was negotiated in the contract, so the value of the deal slowly leaks away.
Step by step
- Gather your key supplier contracts and pull out the terms that matter: unit prices, price-adjustment formulas, surcharges, rebates, payment terms and delivery commitments.
- For each incoming invoice, collect the matching PO and goods receipt.
- Have the agent compare invoice lines against the contract terms and the PO, and compare delivery dates against what the contract promises.
- Flag every deviation (price above contract, unapproved surcharge, missed rebate, late delivery that triggers a penalty) with the amount at stake.
- A buyer or AP clerk reviews the flags and decides whether to dispute, hold or pay.
- Track recovered and avoided amounts monthly to see which suppliers and terms leak the most.
Tools
- Not named in source; any LLM with access to contracts, POs and invoices
Result
A pharmaceutical company cut the value lost through “leakage” by 4 percent (reported by McKinsey, company anonymized).
As reported by the source; most figures are vendor or self-reported and not independently verified.
Try it yourself
You are a contract compliance analyst. Below are the key terms of our contract with [supplier], a purchase order, the goods receipt and the supplier's invoice. Check each invoice line against the contract price (including any price formula or index), allowed surcharges, rebates and payment terms, and check the delivery date against the contracted lead time of [e.g. 10 working days]. Output a table: invoice line, contract term, invoiced value, deviation, amount at stake. Then list which deviations I should dispute and draft a short dispute note for each. Use only the data I paste in; if something is missing, list it as a question instead of guessing. Do not send, order, post or change anything in any system: produce drafts for my review and approval.
