AI cash application and deduction management: read complex remittances, track customer deductions

Added 2026-10-15 · Last updated 2026-10-15

Role

Finance (accounts receivable) · Typical users: cash application analyst, accounts receivable clerk, credit and collections, controller

The problem

Customer payments arrive with remittance advices in every format: PDFs, emails, portal downloads, spreadsheets with thousands of lines. Someone reworks them in Excel to match invoices before posting, so cash posts late and open receivables look worse than they are. Short payments and deductions (promotions, damages, pricing, penalties) are approved by email with backup scattered on personal drives, so nobody knows which are valid and money that should be recovered is written off. At Eagle Family Foods Group, a food maker with 406 employees, it took up to 2 days to post one day of cash, the largest customer's remittances had 2,000 to 3,000 lines that took more than 8 hours to post, and the team worked holidays to keep up.

Step by step

  1. Measure the baseline: hours to post a day of cash, number of remittance lines per week, share of payments that need manual matching, open deductions by count and age.
  2. Rank customers by remittance effort: the one or two customers with the biggest, messiest remittances usually hold most of the gain.
  3. Pilot AI matching on those remittances: AI proposes the invoice match and the deduction code for each line, the analyst confirms or corrects, and you log the correction rate.
  4. Define deduction reason codes and what backup each one needs (proof of delivery, promotion agreement, price list), and store that backup with the deduction case, not in email.
  5. Route each deduction to the owner who can validate it (sales for promotions, logistics for shortages or damages, quality for returns) with a due date.
  6. Dispute invalid deductions within the customer's deadline, and report recovered amounts and write-offs monthly.
  7. Push customers still paying by cheque toward electronic payment with remittance data, to cut the work at the source.

Tools

  • Esker Cash Application, Deductions Management and Synergy AI: used at Eagle Family Foods Group
  • Other tools to evaluate: HighRadius, Billtrust, Versapay, SAP Cash Application, Oracle and Microsoft Dynamics AR automation, Quadient AR (formerly YayPay)
  • Any LLM (ChatGPT, Claude, Copilot) with the prompt below on one anonymized remittance to see what matching can be automated

Result

Eagle Family Foods Group (Cleveland, Ohio; sweetened condensed milk, evaporated milk, popcorn, Hamburger Helper; 406 employees across 4 locations; ERP Infor M3), using Esker Cash Application and Deductions Management with Esker Synergy AI: 50% reduction in cash application posting time, from 48 hours to less than 24 hours; prior day's cash now posted by 2:00 p.m.; remittance processing for the largest customer down from more than 8 hours to 5 to 10 minutes (the highlights say 10 minutes, a 98% reduction); 80% reduction in open deductions; roughly $2.3 million reduction in non-trade deductions; four times as many deductions processed while adding one analyst; cash application handled with a move from one to two analysts despite strong sales growth after a 2022 acquisition. Source: Esker customer story (PDF, 2025). The figures are published by the vendor with the company's cash application lead quoted.

As reported by the source; most figures are vendor or self-reported and not independently verified.

Human review: cautions

  • The figures come from the vendor's customer story; the page itself gives two numbers for the largest customer's remittance time (5 to 10 minutes in the text, 10 minutes in the highlights).
  • An analyst confirms every match before posting; a wrong match hides a real short payment and makes collections harder.
  • Disputing a deduction affects the customer relationship: sales agrees on the approach for key accounts.
  • Remittances contain customer and bank details: use an approved enterprise tool, not a public chatbot.
  • Customers' deduction deadlines and contract terms decide what can still be recovered; know them before automating dispute letters.

Try it yourself

You are an accounts receivable and cash application specialist at a manufacturer.

I will paste: (1) one customer remittance advice [text or table: invoice numbers, amounts paid, deduction or short-pay lines with codes or descriptions]; (2) the open invoices for that customer from our ERP [invoice number, date, amount, PO number]; (3) our deduction reason codes and the backup each one needs.

Do this:
1. For each remittance line, propose the matching open invoice and say how you matched it (invoice number, PO number, or amount), with confidence high / medium / low. Anything not high is 'ANALYST CHECK'.
2. List remittance lines with no matching open invoice and open invoices not mentioned in the remittance.
3. For each deduction or short payment, propose a reason code, the backup needed to validate it, and the department that should validate it (sales, logistics, quality).
4. Flag deductions that look invalid against our rules, quoting the rule, as 'POSSIBLE DISPUTE'.
5. Draft a short email to the customer asking for the missing remittance details or backup, for me to review.

Do not add up amounts or compute differences between paid and invoiced amounts yourself: copy the amounts as given, and I will reconcile totals in the ERP or a spreadsheet. Do not post anything or contact the customer.
Use only the data I paste in; if something is missing, write 'not found' or list it as a question instead of guessing. Do not send, order, post or change anything in any system: produce drafts for my review and approval.
