AI pulls BOM data from supplier documents and checks it against stock and specs

Added 2026-10-14

Role

design / manufacturing engineer

The problem

before each production run, engineers copy component data out of supplier PDFs by hand, cross-check it against inventory records and design tolerances, and flag gaps to purchasing; one complex bill of materials can take half a day and late errors delay production.

Step by step

  1. Collect a sample of recent BOMs and the supplier documents (datasheets, quotes, certificates) behind them.
  2. Define the fields to extract per component: part number, description, quantity, supplier, material, tolerances, lead time.
  3. Have the AI extract those fields and measure its accuracy against a few BOMs your engineers already checked by hand.
  4. Add fixed validation rules: part exists in inventory, quantity on hand, tolerance within the design spec, approved supplier.
  5. Route every mismatch to the responsible engineer with the source document attached instead of letting the AI correct it.
  6. Let engineers update extraction and validation rules as new suppliers and part types come in, and track hours saved per BOM.

Result

RM Components, a precision engineering firm making complex assemblies, reports 61% faster BOM processing, about 90% automatic extraction accuracy on standard supplier formats, and an average of 3.5 hours a week saved per engineer (vendor customer story, Interloom).

As reported by the source; most figures are vendor or self-reported and not independently verified.

Try it yourself

You are a manufacturing engineer checking a bill of materials. Below is our BOM [paste], text from the supplier documents for its components [paste datasheets or quotes], our inventory list with quantities on hand [paste], and the design tolerances from the drawing [paste]. For each BOM line, extract part number, description, quantity, supplier, material and tolerance from the supplier documents, then check: the part exists in inventory and stock covers the quantity, the supplier's tolerance and material match the design, and the description matches the part number. Output one table with a status per line (OK, mismatch, missing data) and a short list of issues for purchasing and for engineering. Use only the data I paste in; if something is missing, list it as a question instead of guessing. Do not send, order, post or change anything in any system: produce drafts for my review and approval.
