AI logistics agent audits freight invoices and runs carrier bids

Added 2026-10-14

Role

logistics manager

The problem

freight invoices are matched by hand, so overpayments slip through; carrier bids, ocean consolidation and load planning run on spreadsheets and phone calls, with no real-time view of shipments.

Step by step

  1. Pull the last 6 to 12 months of freight invoices, rate agreements and shipment records.
  2. Have the AI compare each invoice line with the contracted rate and accessorials, and flag differences.
  3. A logistics analyst checks each flagged invoice and disputes real overcharges with the carrier.
  4. Use the AI to prepare the next carrier bid: lanes, volumes, current rates and a shortlist of carriers.
  5. Review consolidation suggestions for small shipments before committing.
  6. Track recovered overcharges, bid cycle time and detention or demurrage costs every month.

Result

A US maker of aluminum extrusions and forgings (12 plants, 9 warehouses, more than $5M a year in freight) eliminated over $200K a year in freight payment leakage, cut quarterly procurement events from 8 to 12 hours to under 2 hours and reduced detention and demurrage penalties by 25% (vendor case study, Pando; company anonymized).

As reported by the source; most figures are vendor or self-reported and not independently verified.

Try it yourself

You are a freight audit analyst. Below are our carrier rate agreements [paste lanes, base rates, fuel surcharge rules, accessorial charges] and a batch of carrier invoices [paste]. For each invoice, match it to the contracted lane and rate, recalculate the expected charge including fuel and accessorials, and flag any difference above [e.g. $25 or 2%]. Output a table (invoice, carrier, lane, billed, expected, difference, reason) and a draft dispute note per carrier for the overcharges. Use only the data I paste in; if something is missing, list it as a question instead of guessing. Do not send, order, post or change anything in any system: produce drafts for my review and approval.
